Position Summary

At South Seas, the Office Administrator plays a key role in supporting the resort's day-to-day administrative functions. This position ensures the smooth operation of office activities, provides administrative assistance to leadership and departments, and helps create a professional and welcoming atmosphere for both team members and guests. The ideal candidate is organized, proactive, and service-oriented, with a passion for hospitality.

Key Responsibilities

Serve as the primary point of contact for all administrative needs across resort departments

Answer and direct incoming calls and emails in a professional, guest-service-oriented manner

Greet and assist internal team members, vendors, and resort partners

Maintain office supply inventory and place timely orders to support smooth operations

Schedule meetings, coordinate calendars, and assist with travel or event planning

Assist with data entry, filing, scanning, and maintaining accurate resort records

Support human resources and accounting with onboarding tasks, expense reports, and document preparation

Track and route maintenance and facilities requests as needed

Ensure the office environment is tidy, organized, and aligned with South Seas standards

Provide general administrative support to the resort leadership team


Qualifications

High school diploma or equivalent; Associate’s degree or hospitality training preferred

2+ years of office or administrative experience, preferably in hospitality or resort setting

Strong organizational and time management skills

Friendly and professional communication style, both written and verbal

Proficient in Microsoft Office (Word, Excel, Outlook); knowledge of systems like 7Shifts or ADP a plus

Ability to handle confidential information with discretion

Positive attitude, dependable, and able to work independently in a dynamic team environment
